Terms of Service
1. The agreement
These terms are an agreement between the operator of this service (“we”, “us”) and the organisation that holds a Notulen AI account (“the customer”), and they apply to everyone who uses the service through that account. By creating an account, accepting an invitation, or using the service, you accept these terms — on behalf of your organisation, if you create its account, and you confirm you may do so.
If the customer has signed a separate agreement or order with us, that agreement takes precedence where it differs from these terms.
2. Accounts
- Give accurate details, and keep them up to date.
- Keep your sign-in details to yourself. You are responsible for what is done with your account; tell us straight away if you think someone else has used it.
- The customer’s owner and admins decide who joins the organisation, which role each person has, and the organisation’s security settings. They can remove people at any time.
3. Plans, trials and fees
- Each plan sets limits, such as minutes of audio a month, members, recap cards, questions, and meeting bots at once. Some plans stop new work when a limit is reached; others warn. The current plan and usage are shown under Plan & usage.
- Where self-service sign-up is offered, a new organisation starts with a 14-day trial. When the trial ends, the organisation moves to the free plan and its limits, unless it has chosen a paid plan. Its meetings stay readable.
- Fees are those of the plan or order the customer chooses. Invoices are issued in Indonesian Rupiah, and are due by the date shown on them. Prices exclude taxes unless stated.
- If an invoice is not paid on time, we may suspend the organisation after telling its owner. A suspended organisation is read-only until the invoice is paid.
4. Your content
The customer owns its content: recordings, transcripts, minutes, action items, and everything its people add. The customer gives us permission to store, process, copy and display that content only as needed to provide the service to it, including through the providers listed in the Privacy Policy. We do not use the customer’s content to train AI models.
The customer can download its content at any time while its account is open.
5. Recording other people
Recording a meeting records everyone in it. The customer is responsible for having a lawful basis to record and process each meeting, and for telling participants and getting their consent where the law requires it, including the PDP Law. In particular, the customer and its people must not:
- record a meeting where the participants have not been told, if the law or the meeting’s rules require that they are;
- send the bot to a meeting they have not been invited to, or keep it there after the host asks it to leave;
- use the service to record people secretly, or to monitor them in a way the law does not allow.
The bot joins under a name the customer chooses. That name should make clear that it records.
6. Acceptable use
Do not use the service to break the law or anyone’s rights; upload malware; try to reach data you are not allowed to see; overload or probe the service, or work around its limits; copy or resell the service without our written agreement; or take apart its software, except where the law allows it.
7. AI output
Transcripts, minutes, action items, answers and recap cards are produced by AI models and can be incomplete or wrong. Review them before relying on them or sending them on. They are not professional advice.
8. Data processing
For the customer’s meeting content, the customer is the controller and we are its processor under the PDP Law. The Privacy Policy describes what we collect and why. In addition, we:
- process that content only to provide the service, following the customer’s instructions given through the app, its settings, and its agreement with us;
- make sure our staff who can reach it are bound to keep it confidential;
- protect it with the measures described in the Privacy Policy;
- use only the providers listed in the Privacy Policy, under data protection terms of their own, and tell customers’ owners before we add a new one; a customer who objects may end its subscription;
- help the customer answer requests from the people whose data it is, and with its own obligations under the PDP Law;
- tell the customer without undue delay if we learn of a breach affecting its content, so it can meet its own deadlines;
- at the end of the service, delete the content as described in section 11, after giving the customer the chance to download it;
- give the customer the information it reasonably needs to show that these commitments are kept.
9. Support access
Our support team can open a customer’s organisation to help set it up or fix a problem, but only as its owner allows under Administration › Security › Support access. While there, support can do what the owner can. Every visit is recorded in the organisation’s activity log.
10. Availability and changes
We work to keep the service available and secure, but we do not promise it will be uninterrupted or free of errors, unless a signed agreement sets service levels. Some features rely on AI models that their providers offer in preview; those providers may change or withdraw them. We may change or retire features; if a change takes away something the customer relies on, we will tell its owner in advance where we can.
11. Suspension and ending
- The customer can stop at any time: cancel the subscription under Plan & usage, or close the organisation under Administration › Organization. A closed organisation becomes read-only at once and is deleted, with all its content, after 7 days, unless the owner cancels the closure first. Copies then leave our backups as they expire.
- We may suspend or end access for a serious or repeated breach of these terms, unpaid invoices, or to comply with the law or protect the service and other customers. We will give notice first where we reasonably can, and the chance to download content unless the law prevents it.
- Sections that by their nature should continue — such as confidentiality, liability, and governing law — continue after the agreement ends.
12. Confidentiality
Each side keeps the other’s confidential information — including the customer’s content and the terms of any signed agreement — confidential, uses it only for this agreement, and shares it only with people who need it and are bound to keep it confidential, or when the law requires.
13. Our service
We own the service and its software. These terms give the customer a right to use it during the subscription, and nothing more. If you send us suggestions, we may use them without obligation to you.
14. Warranties
Apart from what these terms or a signed agreement promise, the service is provided as it is, to the extent the law allows.
15. Liability
To the extent the law allows, neither side is liable for indirect or consequential loss, or for lost profits, revenue or data, and each side’s total liability under this agreement is limited to the fees the customer paid in the 12 months before the event that gave rise to the claim. These limits do not apply to the customer’s payment obligations, to a breach of section 5, or to liability that the law does not allow to be limited.
16. Changes to these terms
We may update these terms. We will post the new version here with a new effective date, and tell customers’ owners at least 30 days before a change that affects them materially. Continuing to use the service after that date means accepting the new terms; a customer who does not accept them may end its subscription.
17. Governing law
These terms are governed by the laws of the Republic of Indonesia. The parties will first try to settle any dispute by discussion; a dispute not settled within 30 days may be brought before the competent district court in Jakarta.
